Create a practical checklist
List dimensions, materials, workmanship, function, quantities, labels and packaging requirements. Add reference photos and the approved sample. Identify critical defects and measurements that matter to your buyer.
Agree timing and sampling
Decide whether review is needed during production or before shipment. State how many cartons or units will be sampled, which tests can be performed and what access is required. Some performance or compliance tests need a laboratory rather than a visual inspection.
Handle findings before release
A report should distinguish observations, test results and limitations. Agree who approves corrective action and whether a recheck is needed. Sampling cannot guarantee every unit is defect-free; it helps inform a shipment decision.
